  • Employee Compensation Processing
    • Calculate and process regular, overtime, and supplemental pay for all staff (certificated, classified, substitutes, etc.).
    • Ensure accuracy of salary schedules, step increases, and longevity pay.

  • Time and Attendance Management
    • Track employee time cards, absences, and leave balances.
    • Coordinate with HR to validate work hours, leaves, and substitute assignments.

  • Benefits and Deductions Administration
    • Process health, dental, and vision insurance premiums.
    • Manage retirement contributions (e.g., state teacher retirement systems).
    • Handle voluntary deductions (union dues, 403(b)/457 plans, flexible spending, etc.).
    • Administer mandatory deductions (tax withholdings, garnishments, child support).

  • Tax Compliance
    • Withhold and remit federal, state, and local taxes.
    • File payroll-related tax reports (e.g., quarterly and annual filings).
    • Prepare and distribute W-2s and other required tax documents.

  • Contract and Calendar Alignment
    • Align payments with employee contracts, school calendars, and negotiated agreements.
    • Process stipends, extracurricular pay, and seasonal pay schedules.

  • New Hire and Employment Status Updates
    • Set up payroll profiles for new staff.
    • Process changes, such as promotions, terminations, transfers, or leave-of-absence status.

  • Recordkeeping and Reporting
    • Maintain payroll records compliant with district, state, and federal requirements.
    • Provide reports for budgeting, audits, grants, and state reporting systems.

  • Payroll Issue Resolution
    • Support employees with questions about pay, deductions, taxes, and direct deposit.
    • Investigate and correct payroll errors.

  • Payment Distribution
    • Manage direct deposits, paper checks (if used), and pay stubs.
    • Oversee off-cycle payments (e.g., corrections, retroactive pay).
